Recruiting Operations Assistant
Role Overview
The Outreach Operations Assistant supports the recruiting team by executing highly structured outbound outreach campaigns to potential candidates. This role is focused on precision, organization, and process execution—not sourcing, not strategy, and not creative writing.
You’ll run outreach campaigns using predefined templates and instructions, primarily via email and LinkedIn, ensuring everything is sent accurately, tracked correctly, and maintained consistently. Success in this role depends on extreme attention to detail, strong judgment within clear guardrails, and comfort working in a process-driven, fast-paced environment.
This role requires availability during US overnight hours (PST preferred, EST acceptable) and is not suitable as a first overnight role.
What You’ll Do
1) Outreach Execution
- Execute outbound email and LinkedIn outreach campaigns in Gem using provided templates and step-by-step instructions
- Select and send the correct outreach campaigns to candidate lists requested by the team via Slack
- Review prior candidate threads to identify the appropriate recruiter and messaging approach for warm outreach
2) Campaign Monitoring & Maintenance
- Monitor outreach activity to ensure campaigns remain active, accurate, and up to date
- Perform weekly audits of email campaigns, including checking for bounced emails and updating contact records
- Review LinkedIn outreach activity weekly and accurately log candidate responses in internal systems
3) Tracking & Documentation
- Track outreach status, special cases, and campaign variations in shared documentation
- Appropriately manage special cases (e.g., candidates with multiple campaigns or special handling) and communicate updates to the team per instructions
4) Team Communication
- Monitor Slack channels for outreach-related requests, updates, and changes
- Apply basic judgment when reviewing prior communications to determine correct timing or template usage
- Flag unclear or unusual situations to the team rather than making independent decisions

- Gem (outreach sequencing tool – training provided)

- Coda (task and project tracking – training provided)
- LinkedIn (outreach tracking and response logging)

- Comfortable asking questions and escalating issues when unsure
- Availability to work US time zone hours (PST preferred, EST acceptable)
Nice-to-Have
- Background in recruiting, sourcing, or recruiting operations
- Experience with outreach sequencing or CRM-style tools
- Familiarity with LinkedIn messaging or candidate communications
- Experience in highly structured administrative or operations roles
