We are looking for an experienced Business Operations Assistant to join a growing Marketing team in the US. This teammate will assist in managing administrative tasks for the organization to support operationalizing the client workflow.

MUST-HAVES:
- 3+ years experience with G Suite a must-have
- 2+ years as an EA, Biz Ops Assistant or supporting a Project Mgr is a must-have
- 1+ years experience w/ ClickUp or similar project mgt. tool
- Availability to work Monday - Friday, 9 am - 6 pm EST
- Intermediate Excel or Google Sheets experience
- Experience with Slack or similar communication tools
CORE TASKS:
- Data entry and pulling reports from Central Reach or other tools/platforms - client to provide training on Central Reach platform and with tasks
- Conduct daily audits to ensure compliance with current protocols and procedures.
- Conduct database maintenance checks.
- Gather data from system reports to consolidate for overall system reporting
- Assisting with handling/populating client information with accuracy
- Calendar management and meetings booking/coordination (i.e. booking meetings, Zoom calls, appointments, etc.)
- Assist with the preparation/distribution of internal communications and critical updates
- Organizing projects in project mgt. tool (i.e tag in stakeholders that are involved, request additional info if it’s lacking, prioritize against other stakeholders, etc.)
- Note-taking, documentation and organization of digital files
- Ad hoc administrative work - client to provide templates and training (as/if needed)
NICE-TO-HAVES:
- Preference for repeatable tasks (i.e. prefer the consistency and stability of rote work)
- Familiarity with Central Reach or similar practice management software
- Experience handling medical records or other sensitive information
GROW INTO:
- Document processes and develop playbooks to support operationalizing of the client journey workflow
- Ability to take minute/meeting notes in real-time during meetings in order to share key insights with the team post-meeting
