GrowthAssistant is seeking a skilled and motivated Healthcare Scheduling and Support Specialist who will facilitate patient access to therapy by processing referrals, coordinating with healthcare providers, and ensuring smooth transitions into care. The GrowthAssistant will also manage scheduling, respond to client inquiries, and collaborate across teams to resolve booking and availability concerns while following established workflows and maintaining excellent patient support.

Salary: Up to Php 60,000 depending on experience

Core Tasks

  • Receive and process mental health referrals from providers, care centers, and patients, ensuring timely follow-up communications and confirmations (based on existing SOPs and cadence)
  • Coordinate with primary care offices, psychiatry practices, and higher level of care facilities (e.g., IOP) to ensure warm transition of patients into care
  • Respond to general client inquiries and support requests in a timely, caring, and professional manner
  • Collaborate with other teams to resolve any issues or escalations related to bookings, availability, or provider concerns
  • Assist clients with questions, and guide them through the booking process as needed
  • Review the availability in the insurance platform, and making changes based on workflows
  • Communicate over mostly email, but also calls and chats as needed
  • Follow provided workflows, SOPs and templates as updated
  • Provide great service and care to help patients schedule therapy

Must Have:

  • 2+ years of experience in booking coordination, medical scheduling, or a similar role
  • 2+ years of experience using Zendesk (or any CRM, Zendesk is preferred)
  • 2+ years experience in basic to intermediate Excel/Google Sheets
  • Experience managing availability in scheduling or booking systems
  • Ability to utilize and reference multiple systems simultaneously
  • Strong organizational skills and attention to detail
  • Ability to learn multiple systems including scheduling tools, Electronic Health Records (EHR) systems, insurance verification, etc.
  • Effective communication and problem-solving skills
  • Ability to work US time zones

Nice to Have:

  • Experience in healthcare, specifically mental healthcare is ideal
  • Experience with HIPAA
