We’re hiring a Customer Success Operations Assistant to support a growing Customer Success team by keeping workflows organized, data accurate, and day-to-day operations running smoothly. Reporting to the Head of Customer Success, this role plays a key part in supporting team growth and operational efficiency. 

 Salary Range:  PHP 80,000 - 90,000 per month
Note: Rate/Salary will depend on your current competencies matched to the position’s job description and requirements based on the assessment results.

Responsibilities:

  • Data Entry & Record Maintenance
    • Enter and update information across HubSpot, Vitally, Google Sheets, and internal trackers.
    • Maintain templates, checklists, and documentation; ensure all materials remain accurate and current.
    • Mark tasks complete, update task statuses, and manage recurring workflow items for the CS team.
    • Complete customer cancellation records as part of the audit process (~10-20 records daily once ramped).
    • Perform data prep work for larger organizational initiatives and reporting needs.
       
  • Candidate Management (Hiring Support)
    • Coordinate with an external recruiter to progress candidates through interview stages.
    • Manage internal referral candidates end-to-end, including communication, scheduling, and status updates via Greenhouse ATS.
    • Communicate with candidates professionally and promptly across email and Slack.
    • Coordinate interview scheduling, candidate follow-ups, and status updates.
    • Ensure a clean, positive, and efficient candidate experience aligned with Numa’s brand voice.
       
  • Calendar & Task Management
    • Assist with scheduling internal or candidate meetings.
    • Prepare the CS team’s daily workflow by ensuring key tasks, reports, and checklists are ready at the start of the day.
       
  • Operational Support for Customer Success
    • Support the CS managers by tracking delegated tasks and following through to completion.
    • Flag blockers, issues, or delays proactively, with clear and concise communication.
    • Maintain organized records within CRMs and operational systems to support customer success workflows.

Qualifications:

  • Strong written and verbal English communication; able to interface with candidates and internal teams professionally.
  • Ability to take initiative and work proactively.
  • Strong ownership and accountability, with an ability to follow through on tasks, taking responsibility for accuracy and escalating risks early.
  • Ability to learn new tools quickly (e.g., Vitally, internal platforms).
  • Highly organized, detail-oriented, and reliable with administrative workflows. 
  • Strong written and verbal communication skills. 
  • Comfortable executing repetitive, process-driven tasks with consistency and accuracy.
  • Experience with:
    • Email & Slack
    • HubSpot CRM or comparable CRM experience (ex. Salesforce) 
    • Google Workspace (Docs, Sheets, Drive)

Nice to have:
  • Experience optimizing templates, documentation, or operational workflows.
  • Prior experience supporting Customer Success teams.
  • Experience in SaaS, automotive, or communications platform environments.
  • Background in recruiting coordination or candidate management.
  • Experience with additional CRMs or workflow tools.
