Senior Executive Assistant to the CEO
GrowthAssistant is seeking an experienced Senior Executive Assistant to provide high-level support to our dynamic CEO. Responsibilities:
This role will be an extremely high-touch, collaborative role, using technology such as Slack, Google Drive, Notion, and WhatsApp daily. There will be responsibilities outside of the scope below, but generally this role will be responsible for the following, with a high level of autonomy and independence:
- Event Planning:
- Collaborate with the executive team to plan, organize, and execute virtual and in-person events.
- Coordinate event logistics such as venue selection, catering, audiovisual needs, and attendee management, while managing budgets efficiently.
- Travel, Calendar, and Email Management:
- Be an expert with Google Calendar: booking, rescheduling, coordinating, and moving meetings based on changes to the CEO’s calendar.
- Arrange travel itineraries, accommodations, and transportation for the executive team.
- Manage complex calendars, schedule meetings, and handle email correspondence, drafting responses as needed.
- Manage the CEO’s email inbox: organizing, arranging, and coding all emails accordingly
- Information Processing and Critical Thinking:
- Synthesize information accurately, ensuring key details are communicated to executives.
- Anticipate needs, identify solutions, and streamline processes through proactive problem-solving.
- Receive confidential information and process accordingly with a high level of confidentiality.
- Time Management and Multitasking:
- Prioritize tasks effectively to meet deadlines, managing competing priorities with excellent time management skills.
- Schedule meetings across time zones and create detailed travel itineraries.
- Project Management::
- Lead and coordinate various projects, ensuring timely execution and alignment with company goals.
- Document processes and projects in Notion and other project management resources
- Ad-hoc Tasks:
- Provide support for any additional tasks as required by the CEO.
- 4+ years of Executive Assistant role supporting CEO and other C-Suite members at the same time.
- Passion, willingness, and prior experience working with a CST-based, U.S. CEO; and comfortable working hours outside of shift hours.
- Proven experience supporting C-level executives in fast-paced environments, particularly in executive support or administrative roles with a focus on event planning and travel coordination.
- Expertise in event management, including budgeting and creating multimedia content, with a creative touch for promotional materials.
- Preferably experienced in booking U.S. domestic flights using rewards points and managing orders for company giveaways through platforms like Amazon.
- Strong critical thinking skills, with the ability to thrive under pressure while maintaining attention to detail and handling multiple priorities.
- Excellent communication and interpersonal abilities, combined with a high level of discretion in managing confidential information.
- Tech-savvy with proficiency in Google Workspace(Sheets, Docs, Drive), Excel and Microsoft Word; Notion, Slack, Zoom, and Google Meets.
- Ability to work independently, prioritize tasks, and handle confidential information with discretion.
Nice to have:
- Experience with Canva or similar design tools for creating promotional materials and multimedia content.
- Familiarity with assessments and simulator questions to assess problem-solving abilities.
- Previous exposure to customer service-related tasks relevant to executive assistant responsibilities.
- Experience in a US-based start-up company
- Experience in a marketing agency or talent agency
