We’re looking for a highly organized and proactive Executive / Business Operations Assistant to support leadership with scheduling, documentation, and coordination tasks. If you thrive in a fast-paced, detail-oriented environment and enjoy problem-solving, this role is perfect for you! You'll help manage calendars, assist with research and documentation, and ensure smooth communication between executives and teams.


Salary Range:  PHP 60,000 - 70,000 per month

Note: Rate/Salary will depend on your current competencies matched to the position’s job description and requirements based on the assessment results.

Key Responsibilities

  • Calendar & Meeting Coordination – Schedule/reschedule meetings, manage time zones, and prepare daily agendas.
  • Meeting Preparation & Follow-Ups – Provide pre-meeting briefings, take meeting notes, summarize discussions, and track action items.
  • Documentation Support – Create and refine 1-pagers, small decks, and reports as needed.
  • Communication & Coordination – Act as a liaison between executives and teams, managing follow-ups and paperwork.
  • Research & Process Improvement – Conduct research online (including ChatGPT), merge docs in Adobe, and learn new tools quickly.
  • Project & Task Management – Assist with small operational projects and utilize project management tools effectively.

Must Haves

  • 2+ years of experience as an Executive Assistant or in Business Operations support.
  • Strong project management skills and experience with PM tools.
  • Basic to intermediate Excel skills.
  • Excellent English communication (both written and verbal).
  • Familiarity with Google Suite, Slack, and task management tools.
  • A fast learner with a problem-solving mindset who can work independently.
  • Tech-savvy, detail-oriented and service-oriented with a positive attitude.
  • Ability to work PST hours (Pacific Standard Time).

Nice to Have

  • Experience with Medicare/Medicaid enrollment or health insurance admin processes.
  • Background in working with medical providers or healthcare operations.
